Their model enables them to have a team approach to provide services to their clients in their community settings where they need assistance, rather than having services provided in a traditional office setting.

Challenge: Transitioning to a mileage reimbursement program

True Mental Health provided company cars for case managers. Over time, they realized that maintaining their company-owned fleet was both inconvenient and costly as they worked through vehicle repairs due to accidents and maintenance.

After dealing with this liability, they came to the conclusion that a company fleet was no longer the best option and began the process of researching mileage reimbursement companies. 

After deciding to move from fleet vehicles to a personal vehicle program, so their next priority became determining how to make the transition as seamless as possible for their employees.

Solution: Everlance’s user-friendly technology

True Mental Health had two specific goals in mind while transitioning from a company-owned fleet to a mileage reimbursement program for the long term: ease of use and accurate mileage tracking. True Mental Health’s case managers are on the road meeting with clients all day, so finding a company that met their goals while making sure their case managers didn’t have to focus on the app all day was very important.

Even though True Mental Health recognized the steep costs and risks of owning a fleet, they still had concerns about transitioning to a mileage reimbursement program. Patrick and his team took their time before moving to a mileage reimbursement program with “3 months of planning and 6 months of implementation to actually go from the fleet to personalized cars.” This allowed them to research various companies and make sure their case managers were ready for success with the transition.

By transitioning to a standard CPM program, the company has found a way to manage transportation costs more efficiently while still ensuring employees are fairly compensated for work-related travel. Implementation with Everlance was “such a non-event” because the process is so simple to get started. While True Mental Health chose to supplement Everlance's onboarding with their own in-person training, the whole process was almost a non-event by getting everyone into the office, registered with Everlance, and trained on how to use Everlance. Since implementation, everything has been running just the way they expected. 

Everlance's à la carte solutions and innovative features have been a big help in meeting True Mental Health's current needs. One of Everlance's newer features that True Mental Health has implemented is Outlier Flags. This allows them to easily flag reports for review that meet custom criteria, such as exceeding a certain mileage threshold, saving their admins time and effort.

Other features such as managed reimbursements, compliance (document verification), Motor Vehicle Records, and more, though they aren’t needed right now, are always available to True Mental Health if the need arises without the “all or nothing” commitment to the entire suite of services. 

Patrick offered a great piece of advice regarding selecting your mileage reimbursement program—the importance of understanding the reason behind the transition to personal vehicles instead of company-owned vehicles. Figuring out exactly what you’re looking for when you’re ready to move away from your company-owned vehicles can be a huge undertaking, but understanding why you’re moving away from them will make the process of choosing the right mileage reimbursement program a little easier. 

Two years after implementation True Mental Health is still finding success with Everlance and their initial goals of ease of use and accurate mileage tracking continue to be met.
